Position Summary:
Bio-Xin Cosmeceuticals is seeking an experienced Executive/Sr. Executive, Operations to assist in overseeing branch operations and ensure smooth, efficient functioning across multiple locations. The role requires frequent travel to branches to monitor performance, troubleshoot issues, and support operational needs. The ideal candidate will have strong organizational, problem-solving, and communication skills to coordinate effectively with teams across different branches.
Key Responsibilities:
Branch Operations Management:
Assist in the daily operations of branch offices, ensuring all processes run smoothly and efficiently.
Monitor and evaluate branch performance to ensure adherence to company standards and policies.
Visit branches regularly to assess operational issues and ensure the consistent quality of service, product availability, and customer satisfaction.
Process Optimization & Troubleshooting:
Identify operational challenges and work with branch staff to resolve issues in a timely and effective manner.
Propose and implement solutions to improve operational efficiency, cost-effectiveness, and service delivery.
Ensure that all branches follow company operational guidelines, standard operating procedures (SOPs), and safety protocols.
Inventory & Supply Chain Management:
Coordinate with branch managers to ensure adequate inventory levels and timely stock replenishment.
Monitor stock movements and assist in managing logistics between the headquarters and branches.
Ensure inventory records are accurate and that all product shipments are received in good condition.
Staff Training & Support:
Assist in training new and existing staff on operational procedures, customer service, and product knowledge.
Support branch managers in employee performance management and operational training programs.
Provide on-site guidance and assistance to branch teams during high-demand periods.
Reporting & Documentation:
Prepare reports on branch performance, including operational efficiency, sales, and inventory status.
Provide management with insights and recommendations based on branch visits and data analysis.
Maintain accurate documentation of all operational processes and activities at each branch.
Collaboration & Communication:
Serve as a liaison between branch teams and corporate headquarters to ensure effective communication and alignment of operational goals.
Work closely with other departments (HR, Finance, Sales, Marketing) to ensure that branch operations align with overall business objectives.
Address any inter-departmental issues that arise and collaborate on solutions.
Customer Experience & Satisfaction:
Monitor customer feedback and satisfaction levels at branches, addressing any complaints or concerns.
Ensure that branches maintain high standards of customer service and operational excellence.
Help implement customer service improvement initiatives at the branch level.
Required Qualifications & Skills:
Education:
Master’s degree in Business Administration, Operations Management, or a related field preferred.
Experience:
Executive: At least 1-2 years of experience in operations or a related field.
Sr. Executive: 3-5 years of experience in operations management, preferably within retail, healthcare, or cosmeceuticals.
Additional Requirements:
Strong understanding of operational processes and efficiency improvement techniques.
Ability to travel frequently to different branch locations as required.
Excellent problem-solving, analytical, and decision-making skills.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Effective communication and interpersonal skills, with the ability to work with cross-functional teams.
Self-motivated and proactive, with a hands-on approach to problem resolution.
Ability to work under pressure and handle high-demand situations.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), and familiarity with operational management software is a plus.
